Follow-up
Keep every inquiry moving.
Most of the jobs you lose aren't lost to a competitor. They're lost to silence: a missed call, a form nobody saw, an estimate that never got a follow-up. Vantoak builds the workflows that close those gaps.
Make more of the inquiries you already get
Before you spend on more leads, look at what happens to the ones you already have. How fast does your form get a reply? What happens when you miss a call during a job? How many of your estimates go out and are never mentioned again?
Vantoak maps those moments and builds practical automation around them: your new inquiries go to the right person with the details they need, your missed calls get a text that asks the right first question, your appointments get coordinated, and your estimates get permission-based reminders.
Every workflow has a human handoff and a clear stop rule. Automation handles the routing and the reminders. People handle the judgment, the pricing, and the promises.
What's included
What follow-up automation covers
Inquiry routing
Form submissions, texts, and messages go to the responsible person with the details attached. After-hours and urgent requests are handled the way you decide.
Missed-call text-back
When a call goes unanswered, the caller gets a text within moments asking what they need and offering the next step. Your team sees the thread and takes over.
Website intake assistant
A chat assistant on your site that asks the questions you'd ask, collects contact details and the service address, and hands off to a person. Scoped and tested before launch.
Appointment coordination
Connect your calendar or booking tool, define your area and availability, and confirm appointments automatically with reminders before the visit.
Estimate follow-up
Permission-based reminders on a schedule you set, in your voice, that stop the moment the customer replies or declines.
Human handoff and review
Every workflow has a person on the other end. We document exceptions, review real examples before launch, and check the logs together after.
In practice
What a typical week looks like
A customer submits your website form at 7:40 pm. You and your office manager each get a text with the name, service address, and what was asked for. Your office manager replies in the morning with two appointment options; your customer picks one and gets a confirmation and a reminder the day before.
During that visit, another call comes in and you can't answer. Your caller immediately receives a text: "Sorry we missed you — are you looking for an estimate, a repair, or something else?" They reply, and the thread is waiting when the visit ends.
Three days after you email the estimate, a reminder goes out asking if they have questions. Your customer replies with one. The reminders stop, and a person on your team answers it.

Questions
Straight answers
Will this replace my office staff?
No. It removes the routing and reminding that eats their time so they can spend it on customers. Judgment calls, pricing, and commitments stay with people.
Can it work with my existing CRM or phone system?
Usually. We review what you have before scoping and tell you what connects cleanly, what needs a workaround, and what would be simpler to replace.
Is an AI phone receptionist included?
Voice answering is a separate add-on. It needs its own testing and has its own costs, and it may not be right for your company. Vantoak will discuss it with you separately and honestly.
What if the automation says something wrong?
Workflows are scripted and tested with real examples before launch, and every one has a stop rule and a human handoff. Anything involving price or a promise is written to route to a person.
